JOW Vendor "Day of Event" Details

 Hello Vendors! Are You Ready for Wylie’s 6th Annual Juneteenth Freedom Festival!!!

First, thank you all for being part of this celebration of community, culture, and Texas history. You all are a big part of why this event has been successful over the years.

If you are receiving this email, you are confirmed for Saturday, June 14, 2025. If something has changed and you’re no longer able to attend, please let us know. We do still have a waitlist for this event.

Below we have included A LOT of information. Please read it completely and carefully, and make notes to ensure a smooth and successful experience for everyone.

 You will receive the following information via email this week:

1. The 6th Annual Juneteenth Flyer (Scroll down to end of the page): Please share on all of your social media platforms, websites, emails, or printed media. It is essential to promote your booth as well as this event to your followers. The more attendees, the more sales and foot traffic.  Encourage everyone you know to attend this community event.
2. Map of Park & Vendor Spaces (Scroll down to end of the page): The map will have a full list of the vendors plus your assigned spaces along with the loading/unloading parking zones marked. Vendor list will be in alphabetical order, and you will receive a color and number.
3. Entertainment Schedule (Scroll down to end of the page): This will help you understand the flow of the event and its peak times.
4. Health Permit Instructions (More info below): Please scroll down below for further details if you’re serving food and drinks on premise. You will need to create a Collin County Citizen Self Service Portal account and have a printed copy or digital copy of your permit on hand.

Event Date: Saturday, June 14, 2025 | 10AM to 3PM

Set-Up Time: Begins at 7:30 AM at the corner of 100 S Jackson Avenue, Wylie TX 75098. Loading zone will close at 9 AM. After 9 AM you will have to park and carry your items to the park. The forecast for Saturday is HOT. Bring a portable fan if you can those things do wonders. We will have 3 cooling areas set up around the park, including a misty area near the pavilion. We will also have free water.

Break-Down: Begins at 3:00 PM and must be down by 5 PM. Loading/Unloading Zone will re-open.

Vendor Parking & Loading Zone: 100 S Jackson Ave, Wylie, TX 75098, please use this address and not the park address for loading. 

Loading/Unloading zone will be open as early as 7:30 AM and will have a hard close at 9 AM. If you arrive late (after 9AM), you will need to park in designated areas and carry/cart items to the park. Once you have unloaded all your items, our volunteers will direct you to parking zones. You cannot park in the loading zone this area will be secured and closed by 9 AM. At the end of the event starting at 3 PM, this zone will re-open for breakdown.

Hard Cut-Off in Loading Zone: Begins at 9:00 AM. Yes, we have said this above, but we can’t stress the importance and ease of arriving before 9AM. Again, you will still have access to the park and your vendor space after 9AM, but you will have to park and haul your items a block or more.

Vendors Must Provide the Following: Tables & chairs | Tablecloths | Canopy 10×10 | Signage for your booth and table | Generator (if electricity is needed) |Prices must be displayed

Parking & Vendor Location: A parking pass will be provided upon arrival — please place it on your dashboard. Your vendor booth location will be marked on your vehicle window during check-in. A separate email and text will follow with your vendor location and final event map on Monday, June 8.

For Cottage Industry, Food Truck & Prepared Food Vendors: You MUST have a current health permit to serve at this event. Your food handler’s license must be visible at your booth. Please note: Health inspections may occur on-site. Be prepared.

• • • If you will be serving food, in open containers to be consumed immediately (food truck, trailers, tents) you MUST have your Collin County food handler permit on site the day of the event. We will keep repeating this fact. The Collin County Food Inspector will be coming around that day and may request to see it. There is a new process for obtaining this permit outlined below.
      
    • In order to complete the process and get your application in for review, you will need to create a new account on Collin County’s Citizen Self Service Portal .  Once you have gone through the registration, you will be able to access permits/plans and complete the necessary steps. Through the portal, you will also be able to follow along through the review process, get immediate updates and notices, schedule inspections, etc. If you would like for others to be able to have access to each permit/plan to pay fees or request inspections, etc., you will need to also add them on in the Contact section (email address must be included in the Contact record – if the Contact already exists on your record, make sure to verify that all information is correct).  All access to the permitting/planning process will now live in this portal.

    • Fire extinguishers are required for prepared food vendors and food trucks. Cottage Industry which includes packaged foods, spices, sauces, and baked goods must NOT be open for tasting or you will need a Health Permit.

Again, thank you for your patience, we are a team of local volunteers and we are automating the system this year to make it easier for us all in the future.
